Quality manual example...

From the handbook to the management system

Quality manual as an example. Maybe you remembered it... As an example, the ISO 9001 qualityhAndboek: The example for every department manager. In fact, it was an example of a quality manual, safety manual, environmental manual...   or a combination of all of them. Keeping the quality manual – an example for so many within the profession – up to date was a challenge. New versions were constantly needed, where you had to sign off again after you had received and/or read them.
Now we live in the world of ISO 9001:2015 where new digital management systems are much more effective than a quality manual. This quality manual used to be the example, but now it is more of an outdated reference document.
Just take a look at
the Metaware concept.

And then there was ISO 9001:2015 2026

The quality manual no longer serves as an example since ISO 9001:2015. Everything now revolves around 'documented information'.  It is no longer a matter of 'drawing up a handbook', for example by replacing the mandatory documents...

Many advisors have given their new insights and examples about this, which make it clear that the quality manual is a thing of the past:

These advisors are focused on the content and in a way ignore the tooling.

Beyond the quality manual example

On the IT side, developments have perhaps gone even faster: social quality management systems, a SAAS solution. Quite different from the collection of process descriptions, procedures, instructions and forms. Printed and bundled in the bookthat served as an example for every department manager... A digital (quality) management system can do so much more, apart from the various 'ISO standards'. (Just for fun, put this Proware system online in 60 seconds as a test.... and let me know if sample documentation is useful.)

An overview of 'standard' functionalities of a digital management system:

Navigation / Search
  • Index of all documents
  • Overview by function, process, standard item
  • My documents, which I have something to do with
  • Last consulted by me
  • Trending documents within the organization
  • Recently searched within the organization
  • 'Full text search'
  • Knowledge base
Workflow control
Monitoring
  • Consultations by document, by type, by period
  • Not found, but searched for
  • Never used documents
  • Reports, to be defined yourself
Chain integration / mobile
  • For customers, who have to 'watch'
  • For subcontractors who are required to read instructions (mandatory)
  • Using corporate documents together
  • At the project location, on your phone
  • At the client's bedside, on your tablet

For those who are still 'fighting' with loose documents, have a cluttered version management or have to go to the department manager's cupboard for the handbook ....
Set up management system Proware, software tool for quality management, in 60 seconds. And spot the differences...
